This is the main screen of your Data Team Appointment Scheduler. It is divided across the top by chairs and vertically by your pre-selected time increments.
Let's say we want to schedule a patient for today from 4pm to 5pm in Chair 2. We will also assume that this patient has outstanding procedures in his Treatment Plan. Click the Afternoon button on the left side of the screen. Now click the 4pm row in the Chair 2 column (make sure to click only once or your appointment will only be 10 or 15 minutes long). This highlights our beginning time block in the color you have selected. Now click the ending time block in the Chair 2 column (the square directly above the 5pm row).
You will now see a "Browse Patients" screen that lists all patients in your system. Type the first few letters of the patients last name, then double-click on the name to select.
If you have purchased the Treatment Planning option and the selected patient has outstanding treatment plan records, they will be shown in the right-half of the screen. Double-click the procedure that you would like to schedule and it will be moved from the right side of the screen to the left side. Or highlight the procedure that you want to schedule and click on the arrow between the two boxes. (The procedures listed on the left side of the screen are the ones that will be reflected on your schedule).
If you have not purchased the Treatment Planning option or would like to insert a procedure, simply click the Insert button. You will be prompted to enter a procedure code. If you do not know the code, type the first few letters of the procedure and hit enter. Depending on the procedure selected, you may be prompted to enter a tooth number and surface.
When the desired procedures have been entered, click the OK button to save and exit.
You can also use this screen to show whether the patient has been confirmed, arrived, was a no-show, has lab work returned, etc. A symbol for each item you select will print on the schedule. New Patients can be marked.
The default appointment color can be changed to indicate something special for your office. Examples might be New Patients or procedures over a certain dollar amount.
The Make New Appointment button will take you to a screen that will show all available appointment times within whatever parameters you set.
For established patients the Patient Information button will access the Patient Information screen in the program. Information you enter in the Scheduler will be transferred to the program, if you so choose.
The Scheduler display will now be updated to show the new appointment. It includes: patient's name, phone number, procedure to be performed, appointment length, and chair number.
If the patient is NOT listed in the "Browse Patients" screen, select New/First Time Patient. This will allow you to enter any new information into the Scheduler.If the patient is new and you click on the Patient Info button, you will be taken to the Add New Patient screen in the program.
Total production scheduled for the day will be printed on the lower right corner of the daily schedule.
