Running Reports

When you ask the system to run a report, it will PREVIEW the report to the screen (If set to do so in Report Settings) or it will send the report directly to your printer.

The screen blinks the message Generating report... while it organizes the data.

If you are running a large report and do not want to wait for the system to build it at this time, click the Cancel button. The system stops and prompts: Are you sure you want to cancel this report? If you click YES, the report is aborted and you are returned to the program. If you click NO, the system resumes building the report.

Printer Not Ready
If you ask the system to print a report and the printer is not ready, a message appears on the screen to this effect. The system then prompts: Retry or Cancel.

The following are potential causes of printer unreadiness:

  1. Printer is turned off
  2. Printer is unplugged
  3. Printer is out of paper
  4. Printer On-line light is not on
  5. Cable is loose between printer and computer

Check all of the above, turn the printer off & back on, and choose Retry. If you choose Cancel, nothing prints and you are returned to the program.

Viewing Reports
This is what the report toolbar looks like:

The first three icons control how the report looks on your monitor. You can stretch or shrink the view as well as zoom in and out.

The next two icons control what page you are looking at. The icon and arrows on the right will take you to the next page when clicked. The icon and arrows on the left will take you to the previous page when clicked.

The next group of icons let you print specific pages of your report. Simply use the page up and page down keys to select a page, then click on the printer icon to print it!

The rest of the printing control icons let you specify certain groups of pages to print. The options for the Pages to Print textbox are: ALL or Ranges (i.e. 1-2,5,7,12-15). When pages to print is ready and the number of copies is set, click the printer icon to send the information to your printer.

Clicking the icon will cancel the report preview without printing and return you to your previous window.

The following table defines the keystrokes you can use to move through a report when it is displayed on the screen.
