Filter Characteristics

Filtering lets you restrict printing to specific sets of patients. It is available when you print:
  1. When you select one of the these options, the system prompts for the desired range of patients. You can enter a single patient or a range of patients in alphabetical, numerical, or zip code order (See Patient Range Prompt).
  2. The system then displays the Filter Characteristics window as shown below.

Filter Characteristics Screen
A patient will be included only if he satisfies ALL the filter characteristics you specify.

For example, if you want a list of everyone with a specific insurance carrier, enter the code representing the carrier at the INSURANCE COMPANY prompt. If you do not want to include the dependents on this list, enter the code representing the carrier and set INS OWNERS ONLY to Yes.

The only exception to this rule is if you enter filter characteristics for both the Next Prophy Date and Next Appt Date. In this case, the patient must satisfy only one of the two dates.

The system does not filter based on any of the lines on this screen left blank. If you would like a complete list of the patient range you selected, leave all the lines on the Filter Characteristics window blank.

Date Range Prompts
The following documentation uses First Visit date as an example, but the technique is the same for the other date range prompts.

If you want a list of patients whose first visit date was BETWEEN a range of dates, enter the desired range of dates.

If you want a list of patients whose first visit was SINCE a particular date, enter the date as the beginning date and leave the ending date blank.

If you want a list of patients whose first visit was BEFORE a particular date, leave the beginning date blank and enter the date as the ending date.

NOTE: The system includes patients whose date is on the beginning or ending date.

Scheduled/Unscheduled/Both
Select Scheduled if you want to include only patients who have both an appointment time and date set. Select Unscheduled if you want only patients who have an appointment date set but no time. Select Both to disregard the appointment status.
Birth Month
Enter the number representing the month of the patient's birthday (1 = Jan, 2 = Feb, 3 = March, etc.).
Remind Yes/No
Choose Yes if you want to include only patients whose Remind setting = Yes.
Choose No if you want to include only patients whose Remind setting = No.
Interval=0
Choose Yes if you want to include only patients whose Recall Interval = 0. Choose No if you want only those patients whose Recall Interval is not 0.
Doctor/Hygiene
Enter the number that represents the preferred doctor/hygienist.
Stat Code
If you would like everyone with a specific Stat Code, enter that code. The system is sensitive to case so you must type it exactly (it recognizes AP and ap as different).

If you would like everyone with a specific character in their Stat Code, either enter ?X or X? (where X is the desired character). If you want everyone with ANY Stat Code, enter ??. If you want everyone without a Stat Code, enter --.

Custom Fields
We refer to these as Custom fields because they were called Custom 1, 2, 3, 4, & 5 when your system was shipped. However, since you have the ability to change the names of these fields to your liking, they may no longer say Custom1-5. These are the last five lines in the bottom left portion of the filter screen.

Each of these lines has been designed to find any partial match. For instance, if you enter "red". The system would consider any of the following to be a match: Alfred Hitchcock, Big Red Chewing Gum, and Frederick.

Employer
Enter the number representing the patient's employer.
Insurance Company
Enter the code that represents the patient's insurance carrier. If you would like everyone with insurance, enter ???. If you would like everyone without insurance, enter ---.
Insure Plan
Enter the number representing the patient's insurance plan.
Guarantors Only
If you want to restrict the list to guarantors, choose Yes. Otherwise, the system will disregard whether the patient is a guarantor or not. If you restrict the list to guarantors, the system will allow you to sort further based upon the following:
Statements
Choose Yes if you want the list to include only guarantors for families who are eligible to receive billing statements. Choose No if you want the list to include only guarantors for families who are not eligible to receive statements. Leave this line blank to disregard the Statement Yes/No setting.
Interest
Choose Yes if you want the list to include only guarantors for families who are eligible to be charged interest. Choose No if you want to list only guarantors for families who are not eligible to be charged interest. Leave this line blank to disregard the Interest Yes/No setting.
Balance
If you would like every guarantor with a balance greater than a certain amount, choose > and type the amount. If you would like every guarantor with a balance less than a certain amount, choose < and type the amount. If you would like every guarantor with a balance exactly equal to a certain amount, choose = and type the amount. Leave amount blank to disregard the family's balance.
Ins Owners Only
If you want to restrict the list to owners of insurance, choose Yes. Otherwise, the system will disregard whether the patient is the owner of insurance or not.

Once you have set all the desired filter characteristics, click Apply to save the settings.
