Recommended Mailings

It is considered good patient relations to have contact with each patient at least once every three months. This can be achieved through a well structured mailing campaign. Some common letters have been created for you and can be printed using Patient Letters. A few are described below.

First Visit

This letter is sent daily or weekly to all patients who visited your office for the first time. It is short and simply states you enjoyed having the chance to meet them. It makes them feel accepted and produces goodwill toward your practice.

Referral Thank You

This letter is sent daily or weekly to people who have referred new patients to your office. It simply states your appreciation and attempts to further personalize your relationship with that person. This letter is often accompanied by a small gift (for example, a coffee mug with your office logo).

Many offices create a series of referral letters. They can then send a different letter based upon how many referrals the person has made to date. This insures you do not send a person the same letter twice avoiding the sense that this is part of a "canned" process.

NOTE: The Referrer Report shows the people who have made referrals during a given time period and how many referrals they have made to date.

Newsletters
This is an extremely valuable tool that can be sent two or more times a year. In addition to educating your patients, the newsletter personalizes your relationship with your patients. It changes their attitude from "He does not know who I am." to "Look, I am here! You sent me the newsletter!".
Other Mailings

In addition to those letters mentioned, you can send birthday cards and holiday greetings. In both cases, a pre-printed card is more personal than a form letter.

Collection Letters

Although not as fun to send, collection letters can be essential to the financial well-being of your practice. Two such letters have been created for you, Delinquent Balance Notice 1 & 2.

The first letter is a lightly worded reminder of an overdue balance. It asks the patient to contact the office if he was in some way dissatisfied with his service. The second letter is worded more strongly and warns that the patient will be turned over to collection if he does not contact the office.

As always, you can change the wording of the letters to your liking.
